Manage tax rates
Under Settings → Taxes you manage the VAT rates you give your products and document lines. The list applies to your whole workspace — to every app that uses tax rates.
The rates you start with
Section titled “The rates you start with”Your workspace starts with the rates of the country in your company details: the standard rate (as the default), the main reduced rate and a zero rate. For a company in Germany that’s 19 %, 7 % and 0 %. Companies in Germany also get four 0 % rates with a reason — more on that below.
The list is a starting point, not a live tax table: you can rename, change or delete any rate and add more. Which rate applies to which sale is your call — UNENO doesn’t decide it for you.
| Column | Meaning |
|---|---|
| Name | How the rate appears on documents. Default marks the rate pre-selected on new lines — there is always exactly one. A 0 % rate shows its reason below when the name doesn’t say it already. Clicking the name opens the rate. |
| Rate | The percentage — written the way your documents write it, for example 19 % for a company in Germany. |
| Used in | How many products use this rate — archived ones included —, for example 3 products. Clicking it opens the product list filtered by this rate; — means none. |
On a phone you see the name and the rate.
Add a tax rate
Section titled “Add a tax rate”-
Click Add tax rate.
-
Fill in the fields:
Field What to enter Name * How the rate appears on documents, for example Standard rate. Rate * The percentage between 0 and 100, with up to two decimals — the % is already in the field. Reason for 0% Only for 0 % rates: why no VAT applies. For an ordinary rate, leave No reason (ordinary rate). Use as the default rate Pre-selected on new document lines. Only one rate can be the default. -
Click Add tax rate — the button turns on as soon as you’ve entered something.
The window opens at the right edge. If you’ve already entered something and close it, UNENO asks Discard your changes?
You see Tax rate “…” added. The new rate is in the list right away, and in the choice on your products and documents.
Zero rates with a reason
Section titled “Zero rates with a reason”When no VAT applies to a sale, the invoice has to say why — and an e-invoice needs the matching tax category. You set both with the Reason for 0%. As soon as you pick a reason, UNENO sets the rate to 0% and keeps it there, and the Note on the invoice field appears.
| Reason | Standard text on the invoice (English) |
|---|---|
| Reverse charge | Reverse charge — VAT to be accounted for by the recipient. |
| Intra-community supply | Tax-exempt intra-community supply (§ 4 No. 1b in conjunction with § 6a UStG). |
| Export delivery | Tax-exempt export delivery (§ 4 No. 1a in conjunction with § 6 UStG). |
| Not taxable in Germany | Not subject to German VAT (place of supply outside Germany). |
| Tax exempt (§ 4 UStG) | VAT exempt service (§ 4 UStG). |
| Zero rate (§ 12 (3) UStG) | Zero rate (§ 12 (3) UStG). |
- The standard text shows in grey in the field. Leave the field empty and the invoice prints that text, in the invoice’s language. If your case needs a different wording, write your own text — it replaces the standard text.
- A reason only goes with 0%. While a reason is picked, the rate can’t be changed — below it you read With a reason the rate is always 0%. For another rate, pick No reason (ordinary rate) first.
- The first four reasons are already set up if your company is in Germany. For Tax exempt and Zero rate, add a rate yourself when you need one.
Edit a tax rate
Section titled “Edit a tax rate”Click the rate’s name — or ⋮ → Edit on the row —, change the fields and click Save changes. You see Tax rate “…” updated.
Change the default: open the rate that should become the default and tick Use as the default rate. The previous default loses its mark automatically. On the current default rate the tick is fixed — below it you read To change the default, make another rate the default.
Delete a tax rate
Section titled “Delete a tax rate”Click ⋮ → Delete on the row. UNENO asks Delete tax rate? — confirm with Delete. This can’t be undone.
You can’t delete:
- the default rate — it has no Delete. Make another rate the default first.
- a rate that products still use — archived ones included. Instead of the question you then see Tax rate still in use, for example ““Special rate” is set on 2 products and can’t be deleted. Give them another tax rate first.” Show products opens the product list filtered by this rate.
What happens to your documents
Section titled “What happens to your documents”- Every line saves its own rate. If you change or delete a tax rate, documents you’ve already saved stay as they are — drafts too. The change applies to lines you add afterwards.
- New lines get the tax rate of the chosen product, otherwise the default rate.
- When you issue an invoice, its rates, notes and tax categories are fixed.
- With the DATEV export every rate books to a revenue account. If a rate has none, a note at the top of the list tells you — you enter it under Set up DATEV.
Without VAT — as a small business under § 19 UStG
Section titled “Without VAT — as a small business under § 19 UStG”If This business charges VAT is turned off in your company details, you see the note No tax rates to manage instead of the list: your documents are issued without VAT; for a company in Germany, your invoices carry the note on the small-business rule (§ 19 UStG). Update your company profile opens your company details in a new tab.
Your tax rates are kept. If you start charging VAT later, they’re back right away.
