Issue and send a quote

As long as a quote is a draft, it’s only for you. Issue makes it binding: it gets its permanent number, the quote date becomes the issue date, and UNENO creates the PDF. After that it can’t be edited any more.

  1. Open the draft and click Issue at the top — or, in the list, ⋮ → Issue.

  2. Confirm with Issue.

You see Quote … issued. The quote is now listed as Issued.

When it’s issued, the quote takes your company’s and the customer’s details as they are at that moment. If you later change the customer’s address, for example, the issued quote stays as it was.

Issue & send does both in one step: the quote is issued and emailed to the customer straight away. You see Quote issued and sent to the customer.

If sending fails, the quote is still issued — you see Quote issued, but it could not be sent — open it to resend. and send it later with Send.

In the list, click ⋮ → Send — or, in the quote’s overview, under Actions — and confirm with Send quote.

You see Quote sent to the customer., and the quote is listed as Sent. Once you’ve sent it, the menu item is called Resend.

  • To: the customer’s email address, plus a copy to their Copy to (CC) address if one is set.
  • Subject and message: your quote email from Settings → Texts & Emails, in the quote’s language. Without your own text, the subject reads, for example, Quote 0005 from Example Company Ltd.
  • Attachment: the PDF created when the quote was issued — unchanged.
  • Sender: your email goes out via UNENO or via your own mail server, depending on your sending settings. The customer’s replies go to your address.

Every sending appears in the quote’s overview under History — with the date, recipient and who sent it.

Just issued it and spotted a mistake? As long as the quote hasn’t been sent and it’s the most recently issued one, you can take it back:

  1. In the list, click ⋮ → Correct — or, in the overview, under Actions — and confirm with Return to draft.

  2. The quote is a draft again and opens in the editor. Correct it and issue it again.

It gets the same number again — with a new date and a new PDF. That way there’s no gap in your numbering.

If the quote has already been sent or another one has been issued since, this is no longer possible. Then withdraw it and create a new one — fastest with Duplicate.
