Create an export
Under Data export, click New export. The page has two cards: Data, format & filter with the sections Data, Format and Filter — and below it, for CSV and Excel, Columns. ‹ Data export at the top leads back to the list.
1. Data
Section titled “1. Data”Under Data, choose what to export: Customers, Invoices, Quotes or Payments. The chosen button is blue.
2. Format
Section titled “2. Format”| Format | What you get |
|---|---|
| PDF archive (ZIP) | Each document’s PDF, bundled in one ZIP file — ideal for your bookkeeping or your archive. Invoices and quotes only. |
| CSV | A text file with the columns you choose — for spreadsheets and accounting software. |
| Excel (XLSX) | The same columns as an Excel sheet. |
| DATEV | Invoices only: a ZIP with the DATEV booking batch and your customers as debtors — for your tax adviser’s DATEV. See DATEV export. |
For CSV and Excel you also choose below them:
- Items (invoices and quotes) — Without items: one row per invoice or quote, with its totals. With items: one row per line item; the document’s details repeat on every row. That shows you, for example, how often you billed which product.
- Separator (CSV only) — Semicolon, Comma or Tab, matching the program you open the file in.
- Decimal mark (CSV only) — Comma (1,5) or Dot (1.5), likewise.
3. Filter
Section titled “3. Filter”- Date range — last month is preset. A click in the field opens the calendar: pick the first and the last day — or a quick range on the left: Last month, Last 3 months (the three full months before this one), This year, Last year — for the year-end, say — or All. Only All includes drafts too. For invoices and quotes the issue date counts, for payments the payment date, for customers the date they were added.
- Customers (invoices, quotes and payments) — only the documents of certain customers. Leaving it empty includes all.
- Status (invoices and quotes) — for example only Issued and Sent; you can choose several here, each chosen one carries a check mark. Leaving it empty includes all.
- Payment status (invoices and payments) — Open, Partially paid, Paid or Overdue, by the same rules as the invoice list’s filter. Choose several and you get everything that matches one of them. For payments, their invoice’s payment status counts. Leaving it empty includes all.
Status and payment status combine: Sent and Overdue gives the invoices you can send reminders for; Open and Partially paid your open items. Cancellation invoices have no payment status of their own — once you choose one, they drop out.
At the bottom of the last card you see as you go how much will be exported — in green, for example 3 customers will be exported — or, in amber, that nothing matches the filters. Then you can’t export.
4. Columns
Section titled “4. Columns”For CSV and Excel you decide in the Columns card which columns the file has and in which order. The top right shows how many there are.
- Move: the arrows on the right change the order.
- Rename: under Heading in the file you give a column your own name — the way your accounting software expects it, for example.
- Remove: × takes a column out; Add column… brings it back.
- With items adds each line item’s columns: Item no., Item name, Item description, Item quantity, Item unit, Item unit price, Item tax rate %, Item net, Item VAT and Item total.
The payments export
Section titled “The payments export”The Payments export lists every recorded payment on your invoices — a month’s incoming payments for your bookkeeping, for example. It comes as CSV or Excel, without items.
| Column | What it shows |
|---|---|
| Payment date | When the money came in. |
| Invoice number, Customer | The invoice paid and the customer as named on it. |
| Amount, Currency | The payment’s amount — negative for a reversal. |
| Method, Reference | How you recorded the payment. |
| Entry | Payment or Reversal. |
| Reversed | Yes on a payment that was reversed. |
| Invoice status, Invoice payment status | Where the invoice stands today, such as Sent and Partially paid. |
| Recorded by, Recorded on | Who recorded the payment, and when. |
- One row per entry. A reversed payment stays in the file, marked Reversed: Yes; the reversal is its own row with the same date, method and reference and a negative amount. Added up, the two cancel out.
- Payments on cancelled invoices stay in — the money you refund belongs in your bookkeeping.
- Recorded by is empty for payments recorded before 14 October 2026.
