Set up a recurring invoice

A schedule is a template for invoices that repeat: you set the customer, line items and texts once, plus the interval. Every invoice in the schedule is created from it.

  1. Under Recurring invoices, click New recurring invoice.

  2. Pick the customer in the Customer card — type their name or customer number into the search box and pick them. If they’re new, add them right here with New customer. Change picks a different customer. If they have several billing addresses, pick one here; if a delivery belongs to it, switch on With shipping? — if the shipping address is missing, add it right here with Add a shipping address.

  3. Add line items — as on an invoice. At least one line is required.

  4. Fill in the Schedule card — see below.

  5. Check the opening text and signature. They’re prefilled with your standard invoice texts; the Show on document switch hides either of them. Show placeholders under the signature lists the available placeholders.

  6. Check the first invoice with Preview — see below — and click Save schedule at the top.

You see Recurring schedule created. The schedule is listed as Active, with its first run. Preview and Save schedule can only be clicked once there’s a customer and at least one line.

The bar with the buttons stays at the top while you scroll through the form. If you leave the editor with unsaved changes, UNENO asks whether you want to discard them.

Preview opens, in a new tab, the invoice the next run will generate — as a PDF stamped DRAFT: with the run’s date, the service period of that run and the due date that follows from it. It shows what’s in the editor, including what you haven’t saved yet.

Nothing is saved in the process: neither the schedule nor an invoice. A new schedule only starts running when you click Save schedule. The schedule’s overview shows the same preview later.

FieldWhat to enter
Frequency *Weekly, Every 2 weeks, Monthly (the default), Quarterly, Every 6 months or Yearly.
On each run *What each run produces: Create a draft (the default) — you review and issue it yourself —, Issue or Issue & send. More under How the invoices are generated.
Service period per invoiceWhich period each invoice states: In advance (the coming period) — the default —, In arrears (the past period) or None (invoice date = date of supply). For a monthly run on 1 November, in advance means 1–30 November, in arrears 1–31 October.
Starts on *The day of the first run — today or later.
At (hour) *At which full hour the run takes place, in your company’s time zone. 09:00 by default.
Ends onOptional: no invoices are generated after this day. Leave empty to run indefinitely.
Max occurrencesOptional: the schedule stops after this many invoices (1 to 9999). With both an end date and a number, whichever is reached first applies.
Payment term (days)As on an invoice — prefilled with your Default payment term. Leave empty for no due date.
LanguageThe language of the invoices and their emails.
Contact personWho appears on the invoices as your contact person — prefilled with your name.

Monthly and longer keeps the day of the month: a schedule that starts on the 31st runs on 31 January, 28 February, 31 March, 30 April and so on.

Click Edit in the schedule’s overview — or ⋮ → Edit in the list —, change what you like and click Save changes. You see Recurring schedule updated. Preview shows you beforehand what the next invoice looks like with your changes.

  • Changes apply to the next invoices. Invoices already generated stay as they are.
  • Start and hour can’t be changed once the schedule has run. A paused schedule that has never run keeps its start, even if it has already passed.
  • Moving the end: if you set Ends on or Max occurrences so that the end is already reached, the schedule is Completed at once. Raise them on a completed schedule and it runs again from the next slot.
