Convert a quote to an invoice
When your customer says yes, turn the quote into an invoice — without typing the customer and lines again. There’s no separate “accepted” mark: converting is the acceptance.
Convert
Section titled “Convert”-
In the quote list, click ⋮ → Convert to invoice on the quote — or, in the quote’s overview, at the top of the Actions card. This works for quotes that are Issued, Sent or Expired.
-
Choose how to continue:
- Convert creates an invoice draft and opens it. You see Quote converted — review the new invoice draft. Check the invoice and issue it when everything is right.
- Convert & send creates the invoice, issues it and emails it to the customer — all in one step. You stay where you are and see Quote converted — the invoice was issued and sent.
The quote is then listed as Invoiced. The Invoice column shows the new invoice’s number as a link — or Draft while the invoice hasn’t been issued yet. In the quote’s overview, Open invoice takes you straight to it.
What carries over to the invoice
Section titled “What carries over to the invoice”| Carried over | New for the invoice |
|---|---|
| Customer and contact person | Payment term — your Default payment term |
| Language and currency | Opening text and signature — your standard texts for invoices, not the quote’s |
| Every line with quantity, unit, price and tax rate | Invoice number and invoice date — when it’s issued |
| Subtotal, VAT and total |
You can still change anything in the invoice draft — the quote isn’t affected.
The quote number on the invoice
Section titled “The quote number on the invoice”An invoice created from a quote carries a Ref. quote line with the quote number in its header, so your customer can match the two. If you don’t want that, go to Settings → Documents settings and, in the Invoices & quotes card, turn off Show source quote on invoice.
