Issue and send an invoice

Issue turns the draft into an invoice in the legal sense: it gets its permanent number, the invoice date becomes the issue date, and UNENO creates the PDF. After that it can’t be edited any more — a mistake is corrected with a cancellation invoice.

  1. Open the draft and click Issue at the top — or, in the list, ⋮ → Issue.

  2. Confirm with Issue.

You see Invoice … issued. The invoice is now listed as Open, with its invoice and due dates.

  • The number comes from your number range for invoices — gap-free, one after the other. By default it starts at 0001.
  • Invoice date and due date are set: the invoice date is today, the due date is today plus the payment term.
  • Your details and the customer’s are taken as they are at that moment. If you later change an address, the issued invoice stays as it was.
  • The format is fixed: PDF or — with e-invoicing turned on and a matching customer — ZUGFeRD or XRechnung, see E-invoicing Germany.
  • Already paid on filled in? Then UNENO records the full payment on that date straight away, and the invoice is Paid.

If something is missing, the invoice stays a draft and no number is used. You see, for example:

  • This customer has no complete billing address. Add the street, postal code, city and country before issuing.
  • For an e-invoice, a list of everything still missing — such as Invoice: a payment term (required for e-invoices), see When details are missing.
  • Your plan’s document allowance being used up.

Issue & send issues the invoice and emails it to the customer straight away. You see Invoice issued and sent to the customer. If sending fails, the invoice is still issued — open it later and click Send.

In the list, click ⋮ → Send — or under Actions in the invoice’s overview — and confirm with Send invoice.

You see Invoice sent to the customer. Once you’ve sent it, the action is called Resend. For an XRechnung, the window says it goes out as an XML file — without a PDF.

  • To: the customer’s email address, plus a copy to their Copy to (CC) address if one is set.
  • Subject and message: your invoice email from Settings → Texts & Emails, in the invoice’s language. Without your own text, the subject reads, for example, Invoice 0006 (10.2026) from Example Company Ltd, and the message states the total.
  • Attachment: the invoice PDF — for ZUGFeRD a PDF with the e-invoice inside, for an XRechnung only the XML file, each with a note about it in the email.
  • Sender: via UNENO or your own mail server, depending on your sending settings. The customer’s replies go to your address.

Every sending appears in the History of the invoice’s overview. If the customer has no email address, the send actions are greyed out — add the address to the customer.

Just issued it and spotted a mistake? As long as the invoice hasn’t been sent and it’s the most recently issued one, you can take it back: ⋮ → Correct (or under Actions in the overview) and Return to draft. The invoice opens as a draft; when you issue it again, it gets the same number with a new date and a new PDF.

If the invoice has already been sent, a reminder has gone out for it or another one has been issued since, this is no longer possible. Then cancel it and issue a new one.

InvoiceDelete?
DraftYes — it’s removed for good.
Issued, the most recently issued one, not sent, reminded or paidYes — its number is released and the next invoice gets it. Your numbering stays gap-free.
Sent, reminded, paid or an earlier invoiceNo — cancel it instead.

Click ⋮ → Delete and confirm with Delete. If you delete an invoice created from a quote, the quote can be converted again.
