Add or edit a customer
Add a customer
Section titled “Add a customer”-
Open Customers and click Add customer at the top right.
-
Fill in the three sections — the customer itself, its default address and its settings, see below.
-
Click Create. You see [Name] was created.; the customer gets the next customer number automatically.
The same window opens when you add a new customer while writing a quote or an invoice.
The customer
Section titled “The customer”Fields marked * are required.
| Field | What to enter |
|---|---|
| Type * | Organization or Individual. For an organization, contact person, VAT ID and registration number are added. |
| Company name * or Full name * | As the customer should appear on your invoices. |
| Contact person | Your contact at the customer. |
| Where you send quotes and invoices. | |
| Phone | Optional. |
| Copy to (CC) | A second address that receives a copy of every invoice and document — the customer’s accounting, for example. It must differ from the email. |
| VAT ID | The customer’s VAT identification number, for invoices to other EU countries, for example. UNENO checks it when you save — see Check a VAT ID. |
| Registration number | Optional, e.g. HRB 12345. |
| Leitweg-ID | Only for organizations in Germany and only if e-invoicing is switched on in your workspace: the routing ID of German public-sector buyers. When it’s set, your invoices to this customer go out as XRechnung. |
Default address
Section titled “Default address”First pick what the address is for:
- Billing address — where your invoices go. If you deliver somewhere else, click + Add shipping address and enter the shipping address below it. Remove closes it again.
- Billing and shipping address — one single address for both. Below it you see Billing and shipping are the same address — a change applies to both.
| Field | What to enter |
|---|---|
| Address * | Street with house number — without one the customer can’t be saved. |
| Address line 2 | Optional, e.g. a building or a department. |
| Postal code *, City *, Country * | The billing address must be complete, because it’s on every invoice. The same goes for a shipping address. |
Further addresses — a branch, several warehouses — are managed after saving on the customer’s Addresses tab, see A customer’s addresses.
Settings
Section titled “Settings”| Field | What it does |
|---|---|
| Payment term (days) | A new invoice or recurring invoice for the customer starts with this payment term — 30 instead of your usual 14 days, for example. An invoice from one of their quotes gets it too. Empty = your default from the invoicing options. |
| Document language | New quotes and invoices for the customer start in this language. Default = the language of your company’s country. |
| Note | What you should know about the customer, e.g. “Send invoices to purchasing by email only”. Internal only — it never appears on a document, but at the top of their overview. |
You can still change payment term and language in every document.
“Looks like an existing customer”
Section titled ““Looks like an existing customer””If a customer with the same name or VAT ID already exists, the window shows a hint with that customer and its number. That way you avoid duplicate customers.
You can still save — two branches of a company may well be two customers.
Edit a customer
Section titled “Edit a customer”In the list, click ⋮ → Edit on the customer, or Edit in the customer details on its overview. Change the fields and click Save changes. You see [Name] was updated.
The window opens the way the customer is: with Billing and shipping address if its billing address is also the shipping address, or with its own default shipping address below. You change a saved shipping address here; you delete it on the Addresses tab.
If you switch from Billing and shipping address to Billing address, the address is only the billing address afterwards. That isn’t possible while it’s the default shipping address and the customer has other shipping addresses — make another one the default on the Addresses tab first.
