Record a payment

When money comes in for an invoice, record the payment in UNENO. Then the payment state, open amounts and your revenue on the dashboard are right, and paid invoices no longer get reminders.

  1. Open the invoice and click Record payment at the top of the Actions card — or, in the invoice list, ⋮ → Record payment. This works for every invoice that is Open, Partially paid or Overdue.

  2. Check the details:

    FieldWhat to enter
AmountPrefilled with the whole outstanding balance. For a partial payment, enter the amount received. You can’t enter more than is outstanding.
Payment dateWhen the money arrived — today at the latest. Prefilled with today.
MethodBank transfer, Card, Cash, Direct debit, PayPal or Other.
ReferenceOptional: the bank or transaction reference, to find the payment again later.
  3. Click Record payment.

You see Payment recorded. If the invoice is now paid in full, its status is Paid, with Paid on and the date of the last payment below. Otherwise it’s Partially paid — or, if its due date has already passed, still Overdue; what’s missing shows in the Open column.

If the customer pays in instalments, record each payment separately. The invoice stays Partially paid until the full amount has arrived; Record payment suggests the remaining balance each time.

A partly paid invoice can still be overdue: once the due date has passed and the invoice amount isn’t fully paid, it’s Overdue — the Open column shows the rest.

Open the invoice: the Payments card in its overview shows the Total, what’s Paid and what’s still Outstanding, and below it every payment with date, method, reference, who recorded it (Recorded by) and amount — and Reverse.

If you’ve sent reminders with fees or interest for an invoice, they’re part of the outstanding balance: Record payment suggests the invoice amount plus the fees, and the invoice is only Paid once the fees are settled too. Reminder fees don’t count as revenue on the dashboard.

A recorded payment can’t be changed or deleted — it’s part of your records. If you made a mistake, reverse it:

  1. Open the invoice.

  2. In the Payments card, click Reverse on the payment and confirm with Reverse payment.

You see Payment reversed. UNENO records a counter-entry for the same amount, with the same method, reference and date, marked Reversal. The original payment stays, struck through, with Reversed next to it. The payment state and outstanding balance are right again — record the correct payment if needed.

  • Each payment can be reversed once; a reversal itself can’t be.
  • Only on issued and sent invoices — not on a cancelled one.
  • On the dashboard, the payment and its reversal cancel each other out on the same day.
