Texts & Emails
Under Settings → Texts & Emails you decide which words your documents open and close with, and what the email you send them with says. The page appears once UNENO Invoice is activated.
What you set here
Section titled “What you set here”In the Document type card at the top, choose which texts you edit. Each type has two parts, each starting with its Placeholders card:
- Document texts are in the PDF: the Opening text above the line items and the Signature below them. Placeholders (PDF) sits above them.
- Emails are the message the document is sent with: Email subject and Email message. The document is attached as a file. Placeholders (Email) sits above them.
| Document type | Document texts | Emails |
|---|---|---|
| Invoices | Invoice document | Invoice email |
| Quotes | Quote document | Quote email and Quote withdrawal email |
| Invoice cancellations | Cancellation document · Reversal (unpaid) and Cancellation document · Refund (paid) | Cancellation email |
- Recurring invoices use the invoice texts.
- Cancellation invoices get the fitting text: Refund (paid) if money had already come in for the invoice, otherwise Reversal (unpaid).
- Reminders have their texts under Settings → Payment reminders.
Per language
Section titled “Per language”Every card has a tab per language — English, Deutsch and Français; it opens in the language you’re using UNENO in. Which text goes into a document is decided by the document’s Language, which you pick in the editor: a German invoice gets the German texts and the German email.
Change and save
Section titled “Change and save”- Change the text — in one language or several.
- The card’s foot shows how many changes aren’t saved yet — across the languages, such as 2 unsaved changes.
- Click Save changes. Every language you changed in this card is saved. Discard brings back the saved texts in every language of the card.
You see Your texts have been saved. Your own text then carries the Modified label.
- Back to the default: clear the field and save — the default text is back.
- An empty text can’t be saved — empty means “default”. If a document should go out without an opening text or signature, untick Show on document in its editor.
- Placeholders such as
%company_name%are filled in when the document is produced — which ones work where is listed under Placeholders. - If you leave the page with unsaved changes, UNENO asks: Stay or Leave.
What a change does
Section titled “What a change does”| Text | When it applies |
|---|---|
| Document texts | They’re copied into a document when you create it. Existing drafts, issued documents and schedules keep their texts — change them there if needed. |
| Emails | They’re filled in when sending — also when you re-send an older document. |
An invoice created from a quote gets the invoice texts in the quote’s language. A duplicate keeps the original’s texts.
Which email goes out when
Section titled “Which email goes out when”| When | |
|---|---|
| Invoice email | Send or Issue & send of an invoice, Convert & send of a quote and every schedule set to Issue & send |
| Quote email | Send or Issue & send of a quote |
| Cancellation email | Cancel invoice with Email the customer the cancellation — or later Send cancellation |
| Quote withdrawal email | Withdraw a sent quote with Email the customer a withdrawal notice — or later Send withdrawal notice |
The email carries your logo at the top, if you’ve set one, and your company details at the bottom. UNENO doesn’t add a sign-off — it belongs in the email message, as in the default texts.
