Cancel an invoice

An issued invoice can no longer be changed or deleted — it’s a legal record. If it’s wrong or no longer applies, you cancel it: UNENO creates a cancellation invoice (Storno) that reverses it completely. Both stay on record.

  1. In the invoice list, click ⋮ → Cancel invoice on the invoice — or under Actions in its overview. This works for every issued invoice — a paid one too.

  2. If your customer should be told, tick Email the customer the cancellation.

  3. Click Cancel invoice.

You see Invoice cancelled. — with the notice, Invoice cancelled and the customer notified. This can’t be undone.

  • A cancellation invoice with its own number from the Cancellation invoices number range — by default ST-0001, ST-0002 and so on for a company in a German-speaking country, CN-0001 otherwise. It carries the same lines with negative amounts and refers to the original with For invoice … of ….
  • The original invoice is listed as Cancelled, with the cancellation invoice’s number below. Nothing is left open, and it gets no more reminders.
  • The cancellation invoice’s text depends on whether money has already come in: without a payment it reverses the invoice and nothing is left to pay. With a payment it announces the refund and states the Amount refunded.

When you open the cancelled invoice, its overview shows on the left the invoice stamped CANCELLED followed by the cancellation invoice, in the Invoice details the cancellation invoice with number and date, and at the top of the Actions Download invoice + cancellation:

With the notice, your customer gets an email with the subject Cancellation of invoice … from … — attached, one PDF with the original invoice stamped CANCELLED and the cancellation invoice. If the invoice was an e-invoice, the cancellation invoice is one too — as a credit note in the same format; then two files are attached: the cancellation e-invoice and the original invoice stamped CANCELLED.

Forgot the notice? Open the cancelled invoice, click Send cancellation under Actions and confirm with Send cancellation.

If you cancel a paid invoice, the cancellation invoice states the amount paid as the Amount refunded, and the invoice’s Payments card shows The invoice is cancelled — the amount paid is to be refunded. You make the repayment yourself through your bank — UNENO doesn’t record refunds.

On the dashboard, the cancellation invoice takes the revenue back in its own month.
