Issue an e-invoice (Germany)
You issue an e-invoice like any other invoice — with Issue or Issue & send, see Issue and send. With e-invoicing switched on and a matching customer, a few steps are added.
The time of supply
Section titled “The time of supply”An invoice has to state when goods or services were supplied. If an e-invoice has neither a Delivery date nor a complete Service period, UNENO asks before issuing:
- Add supply date closes the window — enter the Delivery date or the Service period under Invoice details.
- Use invoice date issues the invoice; the e-invoice states the invoice date as the time of supply.
When details are missing
Section titled “When details are missing”When you issue, UNENO checks that the e-invoice is complete. If something is missing, it is not issued: it stays a draft, and no number is used. The editor shows everything that’s missing at once:
Complete the details and issue the invoice again. What each item means:
| Notice | What to do |
|---|---|
| Settings → Business profile: company name, full address or VAT number or tax number — managed in your account | Complete your company details in your account. The business profile shows them. |
| Settings → Business profile: phone number, email address or IBAN (required for XRechnung) | Add them in the business profile. |
| Customer: name, full billing address or email address (required for XRechnung) | Add them on the customer. |
| Invoice: a payment term (required for e-invoices) | Enter a Payment term (days) under Invoice details. |
If you issue from the invoice list, the same list appears as a message.
Tax details that don’t fit
Section titled “Tax details that don’t fit”Two checks concern the lines’ tax rates — they block issuing too:
- This invoice goes out as an e-invoice to a customer in Germany. Export delivery, intra-community supply or “not taxable in Germany” do not fit a domestic customer. … — check the lines’ tax rates or the customer’s country.
- Reverse charge on an e-invoice needs the customer’s VAT ID. … — add it to the customer.
A technical error
Section titled “A technical error”If every detail is there and the e-invoice still can’t be created, you see: The e-invoice could not be created due to a technical error. Please contact support — we have been notified. The invoice stays a draft then, too.
After issuing
Section titled “After issuing”The invoice states its format in the list’s Format column and in the Invoice details of its overview. For an XRechnung, the download reads Download XML, and Send says it goes out as an XML file — without a PDF:
Send the e-invoice as usual. The invoice’s History then reads, for example, … as XRechnung.
If the e-invoice can’t be created when sending, for technical reasons, the invoice still goes out — as a plain PDF. You then see Invoice sent — but as a plain PDF: the e-invoice could not be created due to a technical error. We have been notified., and the History reads as PDF instead of e-invoice (technical error).
Cancellation, recurring invoices, quotes
Section titled “Cancellation, recurring invoices, quotes”- Cancellation: if you cancel an e-invoice, the cancellation invoice is an e-invoice too — a credit note referring to the original invoice. The cancelled invoice’s page additionally offers Download cancellation as e-invoice. If you notify the customer, two files are attached: the cancellation e-invoice and the original invoice stamped CANCELLED.
- Recurring invoices: a schedule set to Issue or Issue & send is checked the same way. If something is missing, the invoice stays a draft and the activity log notes it.
- Quotes are never e-invoices. If you convert a quote with Convert & send, the new invoice is checked like any other — if something is missing, nothing is converted or sent.
