Getting paid

Payment reminders that start friendly — and keep at it.

A polite reminder on the first working day after the due date, firmer ones after that, fees and interest if you want them. Send each by hand — or let Invoice send them on its own, at the hour you choose.

  • Up to five levels — from a friendly reminder to the final one
  • By hand or automatically, at your send time
  • Optional fee — plus default interest and the €40 flat fee
Your levels

Your reminder levels, set once.

One rhythm for every invoice: the first reminder on the first working day after the due date, each next one a few working days later.

  1. Level 1

    Payment reminder

First working day after the due dateNo fee
  2. Level 2

    Reminder #1

    5 working days later+ €5.00
  3. Level 3

    Final reminder (#2)

    5 working days later+ €5.00

Any level — or never
Reminder fee
Your amount, e.g. €5.00 — a French company starts at €0: the €40 fee covers recovery costs
Reminder stop

Stop the reminders — for one invoice or a whole customer.

A complaint, a payment plan? Set a reminder stop and nothing goes out — not by hand, not automatically — until you lift it.

  • Per invoice — right on the invoice page
  • For every invoice of a customer — in the customer’s details
  • With a reason if you like, and who set it when
  • Lifted? The customer gets the full payment deadline again
Interest & flat fee

Default interest and the €40 flat fee — if you want them.

Off until you switch them on. Then Invoice works out the interest per day on the amount still open and adds the flat fee for business customers — with the rates you enter.

You decide
Rate for companies
Your rate, % p.a. — statutory: base rate + 9 points in Germany, the ECB rate + 10 points in France
Rate for consumers
Your rate, % p.a. — statutory: base rate + 5 points in Germany, the legal interest rate in France
Interest runs from
The day after the first reminder or the due date — in France the due date, no reminder needed
Flat fee €40
Companies only, once per invoice, euro invoices only — § 288 (5) BGB in Germany, art. D441-5 in France
From level
The level that first shows interest and flat fee
Never on top
No interest on fees, and no VAT on either
Manual or automatic

Send them yourself — or let them go.

Both send the same reminder: your letter as a PDF, by email to your customer.

By hand

Overdue invoices get a “Send reminder” action in the list and on the invoice page. You see the level and the next date — and confirm before it goes out.

  • Each level when you decide
  • Offered only when it may go out — never during a reminder stop
  • A warning if the invoice was never emailed
  • Download invoice + reminder as one PDF

Automatically

Switch it on once and Invoice sends every due reminder at your send time — one level at a time, never a pile at once.

  • Only for invoices you emailed — a reminder is never the first message
  • Never on a weekend or public holiday — the invoice shows the next date
  • One level per invoice per run
  • A failed email takes the reminder and its fee back
Details

Firm, but fair.

  • Your own words

Letter and email per level and language — with placeholders for amounts, dates, deadlines, interest and the flat fee.

  • Partial payments counted

What the customer already paid is deducted — the reminder asks only for what is still open.

  • Stops when it should

Paid in full, cancelled or a reminder stop set? No further reminder goes out.

  • Delete the last reminder

Sent one too many? Remove the latest reminder — with its fee, interest and flat fee.

  • All reminders in one list

Every reminder sent, with level, deadline, fees & interest and the amount still open — its stage and PDF stay exactly as sent, whatever you change later.

  • From your own address

Sent through your own mail server (SMTP) if you have one — your customer sees your address.

FAQ

Questions about payment reminders

Short answers to what people ask us most.

When does the first reminder go out?

On the first working day after the invoice’s due date — automatically at your send time, or when you click “Send reminder”. Each further level follows the number of working days you set (default: 5). Working days skip weekends and the nationwide public holidays of your company’s country.

How many reminder levels can I use?

From one to five. The first is a friendly payment reminder, the ones after it are reminders with a firmer tone, and the last is marked as the final reminder.

Can I charge a reminder fee?

Yes. Set one fixed fee and the level it starts from — or choose never to charge one. The fee is printed on the reminder, and the invoice only counts as paid once fees, interest and the flat fee are covered too.

What happens with a partial payment?

It is deducted: the next reminder lists the payments received and asks only for the amount still open, plus any fees.

When do the reminders stop?

As soon as the invoice amount is paid in full, the invoice is cancelled, a reminder stop is set, or the last level has been sent. With automatic reminders switched off, you decide each one yourself.

Can a reminder be the first message my customer gets?

Not automatically — automatic reminders only go out for invoices you emailed from Invoice. When you send one by hand for an invoice that was never emailed, the dialog warns you first.

Can I stop the reminders for one invoice or one customer?

Yes. Set a reminder stop on the invoice page — or in the customer’s details for all of that customer’s invoices — with a reason if you like. Nothing goes out, by hand or automatically, until you lift it; afterwards the customer gets the full payment deadline again.

Can reminders charge default interest and the €40 flat fee?

Yes, if you switch them on — they are off by default. You enter the rates for companies and for consumers (statutory in Germany: base rate + 9 or + 5 points; in France: the ECB rate + 10 points for companies — the rates change twice a year, so keep them up to date). Interest runs per day on the amount still open, never on fees — in France from the day after the due date, without a reminder; the €40 flat fee applies to business customers, once per invoice (§ 288 (5) BGB in Germany, art. D441-5 in France). Whether to charge both a fee and the flat fee, ask your tax advisor or lawyer.

Does a sent reminder change if I change my settings or texts later?

No. Each reminder keeps its stage, deadline, fees and its PDF exactly as it was sent — the download is the copy your customer received. Your new settings and texts apply to the next reminders. And once a reminder has gone out, the invoice can no longer be corrected or deleted, only cancelled.
