Write quotes, send them and bill them in one click.

Customer, line items, a valid-until date — your quote goes out as a PDF in your branding. When the customer says yes, it becomes the invoice without re-typing a line.

  • Valid-until date — expired quotes are marked automatically
  • Sent by email — with a sending history — or downloaded
  • One click from quote to invoice
How it works

From quote to invoice in three steps.

The quote you write is the invoice you send later — nothing is typed twice.

  1. 01

    Write the quote

Pick the customer, add line items from your catalogue or as free text — “Valid until” is already filled in from your default validity (30 days unless you change it). Check it in the PDF preview before it goes out.

  2. 02

    Issue & send

Issuing gives the quote its number. It goes to your customer by email with the PDF attached — or you download the PDF.

  3. 03

    Convert

The customer says yes? Convert the quote — customer, line items and prices carry over. Or convert & send the invoice in one go.

Status

Every quote, at a glance.

From the draft to the invoice — the status always shows where a quote stands, and expired quotes mark themselves. Convert, decline, withdraw or duplicate it from the list or right on the quote’s page.

  1. Draft

No number yet — edit, preview, delete.

  2. Issued

Numbered and archived as a PDF.

  3. Sent

Emailed to the customer from the app.

  4. Invoiced

Converted — the invoice is linked in the list and on the quote’s page.

Or it ends here

  • Declined

You mark it — with an internal reason if you like. Its PDF downloads stamped DECLINED.

  • Expired

Automatically, the day after its valid-until date. It can still be converted; its PDF downloads stamped EXPIRED.

  • Withdrawn

You withdraw it — and if it was sent, you can notify the customer. Its PDF downloads stamped WITHDRAWN.

Sending

Sent — and traceable.

Every quote shows when it went out, to whom and how. No more guessing whether the customer got it.

  • Sent as “Your company (via UNENO)” — or through your own mail server
  • Also to the customer’s copy address, if one is saved
  • A withdrawn quote’s notice can be sent again from the quote page
Details

The small things that save time.

  • Duplicate

Copy any quote — customer, lines, texts and language included, with a fresh valid-until date.

  • Correct

Your latest quote is issued but not sent yet? Take it back to draft — it keeps its number.

  • Opening text & signature

Your own defaults per language, editable per quote, shown or hidden on the document.

  • Email templates

Subject and body with placeholders like number, total or valid-until — set once, used every time.

  • English, German or French

Chosen per quote — the default texts switch with it.

  • Your own number range

Prefix, start number and length of your choice, optionally with year and month (QU-2026010001) — gap-free, separate from invoices.

  • Tax per line

The rate with its reason, e.g. reverse charge. Products without their own rate get your default rate, and the editor points out what doesn’t fit the customer.

  • Units with their e-invoice code

The code is fixed when you pick the unit — and carries over to the invoice unchanged.

  • Export your quotes

As CSV, Excel or a PDF archive — filtered by period, status and customer.

FAQ

Questions about quotes

Short answers to what people ask us most.

How do I record whether the customer accepts?

When the customer says yes, convert the quote into an invoice — it then shows as Invoiced. A no is recorded with “Mark as declined”, with an internal reason if you like.

What happens when a quote expires?

After its valid-until date, Invoice marks the quote as Expired automatically. You can still convert it into an invoice. New quotes get their valid-until date from your default quote validity (14, 30, 60 or 90 days — or no expiry), set under Settings → Documents settings. A quote without a valid-until date never expires.

Can I change a quote after issuing it?

A draft can be changed at any time. If your most recently issued quote has not been sent yet, “Correct” takes it back to draft and it keeps its number. Otherwise, duplicate it and issue the copy.

Can I copy a quote?

Yes. “Duplicate” works from any status and takes over the customer, line items, texts and language — and starts with a fresh valid-until date from your default quote validity.

How does my customer receive the quote?

By email straight from UNENO Invoice, with the PDF attached — sent as “Your company (via UNENO)”, or through your own mail server (SMTP) if you have set one up, and also to the customer’s copy address if one is saved. Or you download the PDF and send it yourself.

In which languages can I write quotes?

In English, German or French, chosen per quote. The default opening and closing texts switch with the language.

Can I see when and to whom a quote was sent?

Yes. The quote page has a Sending section: every email with its time, recipient and copy address, whether it went via UNENO or your own mail server, and who sent it.

Can I already choose reverse charge or another 0 % reason on a quote?

Yes, per line — just like on the invoice. The rate and its reason carry over to the invoice unchanged when you convert the quote, and the editor points out a choice that doesn’t fit the customer.
