- When
- Your most recently issued invoice — not yet emailed from the app, no reminder sent.
- What happens
- It goes back to draft. Fix it, issue it again — a new PDF is created.
- Number
- Stays the same
All features
Correct or cancel an invoice — without a gap in your numbering.
A typo before it went out? Correct it and keep the number. Already sent or paid? Cancel it with a proper cancellation invoice — the original and the cancellation both stay on record.
- Correct: your latest unsent, unreminded invoice back to draft, same number
- Cancel: a cancellation invoice in its own number range
- Inform your customer by email — if you want to
Three ways to fix a mistake.
Which one applies depends on how far the invoice has gone — Invoice only offers the ones that are allowed.
- When
- Any issued or sent invoice — even a paid one.
- What happens
- A cancellation invoice reverses it in full. Both stay on record; for the corrected version, duplicate and issue anew.
- Number
- The cancellation gets its own
- When
- Drafts — or your latest issued invoice if it is unsent, unpaid and unreminded.
- What happens
- It is removed for good.
- Number
- Released — the next invoice reuses it
What the cancellation invoice says.
- Lines
- Every line of the original, with negative amounts — VAT per rate reversed.
- Number
- From its own range, “Cancellation invoices” — your invoice numbers stay gap-free.
- Reference
- A fixed line with the original invoice number and date — it can’t be edited away.
- Not paid yet
- States that the invoice is void and nothing is payable.
- Already paid
- Announces the refund, with an “Amount refunded” line.
- The original
- Stays as “Cancelled” — downloaded as one PDF: stamped “CANCELLED”, followed by the cancellation.
Cancelled means done.
Customer informed
Tick one box when you cancel — or send it later. Your customer gets the cancellation with the original stamped CANCELLED; for an e-invoice, the cancellation comes as an e-invoice too.
Reminders stop
A cancelled invoice is never overdue again — no reminder goes out for it.
No more payments
Payments can no longer be recorded against it, so nothing is booked twice.
Clean figures
On the dashboard, the cancellation takes the revenue back in its month; customer statistics leave cancelled invoices out — shown as “+ N cancelled”.
Reissue in one click
Duplicate the cancelled invoice, fix it, issue it — with a new number.
Quotes: withdraw
A quote is withdrawn instead — with an internal reason and an optional notice to your customer.
Questions about cancelling and correcting
Short answers to what people ask us most.
Should I correct or cancel?
Correct only works for your most recently issued invoice that has not been emailed yet — it goes back to draft and keeps its number. Once an invoice has been sent or reminded, or a later one has been issued, cancel it with a cancellation invoice.
What is on the cancellation invoice?
All lines of the original with negative amounts, its own number from the “Cancellation invoices” range (to start with, prefix “ST-” for a German-speaking company, “AV-” for a French one — where it is called an avoir — and “CN-” otherwise), and a fixed line with the original invoice number and date. If the invoice was already paid, it announces the refund and shows the amount refunded.
Can I cancel an invoice that has already been paid?
Yes. The cancellation invoice then says the amount will be refunded and shows the amount refunded. Transferring the money back is up to you — Invoice doesn’t pay out refunds.
Can I cancel only part of an invoice?
No — a cancellation always reverses the whole invoice. Cancel it, then duplicate it, fix the lines and issue the corrected invoice.
Does my customer find out?
If you want. Tick “Email the customer the cancellation” when you cancel, or use “Send cancellation” later. They receive the cancellation invoice with the original stamped “Cancelled” — as one PDF, or, for an e-invoice, the cancellation as an e-invoice plus the stamped original.
How do I cancel a quote?
Quotes are withdrawn instead: “Withdraw” takes the quote out of play, keeps it on record and can notify your customer. A no from the customer is recorded with “Mark as declined”.
