Invoices
“Thank you for your order and the trust you have placed in us!”
- Opening text
- Closing text with payment terms

Recurring invoices start from the same texts.
Greeting, thanks, payment terms, email and reminder: UNENO brings a finished text for every document, in English, German and French. Change whatever you would say differently — once for all documents, or just for this one.
Written the way a careful office writes them — in English, German and French, ready the moment you start.
“Thank you for your order and the trust you have placed in us!”
Recurring invoices start from the same texts.
“Thank you for your enquiry. We are happy to present the following quote to you today:”
“The amount already paid will be refunded to you.”
The right version is picked automatically — depending on whether money was already received.
“You may have overlooked it: we have not yet received full payment for the invoice listed below.”
Not charging VAT — the small-business rule (§ 19 UStG) in Germany, the VAT franchise (art. 293 B CGI) in France? The note prints on every invoice by itself. The same goes for the note of a 0 % rate (reverse charge, export …), the reference line on a cancellation invoice and the line saying the date of supply is the invoice date when an invoice has no delivery date. A French company’s invoice to a business adds the payment mentions — early-payment discount, late-payment penalties, the €40 recovery fee — in the statutory wording, which you can adapt under “Mandatory mentions (France)”. None of them belongs in your own texts.
Under “Texts & Emails”, per document type and per language — it opens in your interface language, one save stores every language you changed, and it warns you before you leave with unsaved changes. Your own texts are marked “Modified”; clear a field and the default comes back. Reminder texts live under “Payment reminders”.
In the quote, invoice or recurring editor the text is already in place, with the placeholders listed — change it just for this one, or hide it with “Show on document”. Switching the document’s language keeps what you edited, and a text you clear stays cleared.
Placeholders are filled and the invoice is archived as a PDF. Changing your default later never touches it.
The default opening names the service period. An invoice with only a delivery date has none — so the line simply isn’t printed, instead of “for the period from to”. The same for the payment terms with “no due date”.
A line whose placeholder has no value on the document is not printed.
Write %due_date% once — every invoice shows its own date. Next to each text, the settings list the placeholders that fit, with a copy button.

%invoice_number% names the cancelled invoice in cancellation texts. Reminders have their own, such as %amount_due%, %reminder_fee%, %mahnung_level%, %reminder_due_date%, %interest%, %interest_rate% and %flat_fee%. Every text field takes up to 5,000 characters.
Short answers to what people ask us most.
Every text your customers read: the opening and closing text of invoices, quotes and cancellation invoices, the subject and message of every email, and the payment reminder and reminder letters and emails — in English, German and French. You can start straight away and only change what you would say differently.
Yes. In the editor the default text is already in place — change it for this one invoice, quote or recurring invoice, or hide it with “Show on document”. Your default stays as it is.
In document texts, for example %company_name%, %due_date%, %due_days%, %delivery_date% and %service_period%; in emails also %customer_name%, %document_number% and %total%. Next to every text the settings list the placeholders that fit, with a copy button.
No. Every invoice and quote keeps the text it was written with, and issued invoices are archived as a PDF. A new default applies from the next document on.
No. Every text has a version per language — English, German and French — that you keep separately, and the prepared texts come in all of them. Which one is used follows the language of the document.
With placeholders. The prepared closing text reads “payment within %due_days% days, by %due_date%, without deductions” — days and date come from the invoice’s payment term, so the text always matches the due date.
No. The note that no VAT is charged — the small-business rule (§ 19 UStG) in Germany, the VAT franchise (art. 293 B CGI) in France — prints on every invoice automatically, and so does the note of a 0 % rate such as reverse charge or an export delivery, taken from the rate on the line. A French company’s invoice to a business also carries the payment mentions (early-payment discount, late-payment penalties, the €40 recovery fee) by itself. Your texts are for the greeting, the thanks and the payment terms.
Then its line is left out. The default opening names the service period — an invoice with only a delivery date has none, so that line simply isn’t printed. The same for the payment-terms line with “no due date”. No half-empty sentences on your invoice.
Yes. Empty the field in the settings and save — the prepared text applies again.
